Onboard a new client as an agency
Set up a new client from start to finish: client, site, team access, snippet, consent, first research round and reporting.
In this article
In an agency account, every client has their own sites and data, kept completely separate. Your team can see all clients or only some. You can also invite the client's own staff to see just their client.
1. Add the client and the site
- On your agency's start page, find Add client. Type the Client name and click Add client.
- Open the client. Under Add site, enter the Domain (for example
example.com) and, if you like, a Name such as "Acme Shop (NL)". Click Add site.
Varly visits the site once to detect the platform and the cookie banner. Add each country site with its own domain as a separate site; subdomains are included automatically.
2. Give the right people access
Go to Team and use Invite a colleague:
- Enter the Email address and pick a Role:
- Owner: everything an editor can do, plus the team, organization settings, the AI key, API keys and deleting sites.
- Editor: research, ideas, surveys and A/B tests (including launching them), and the settings of each website.
- Viewer: can look at everything, but not change anything.
- Under Client access, choose All clients, including new ones or Only these clients, and tick the clients.
- Click Create invitation. Varly emails the invitation and also shows the link, so you can send it yourself if you prefer. It works for 14 days.
For the client's own staff, choose Viewer with Only these clients. They then see their own sites and nothing of your other clients. See Give clients access and Team roles.
3. Have the snippet installed
Open the site's Install page and pick the client's platform under 1. Then copy the snippet under 2. Add the snippet and send it to whoever manages the client's website. It goes into the <head> of every page, as high as possible. On WooCommerce and WordPress, step 2 is the Varly plugin instead. See Install the snippet, and the guides for Shopify, WooCommerce and WordPress and other platforms.
4. Set consent and tracking
Go to Settings → Tracking & privacy and work through it with the client:
- Consent banner: check that it matches the client's cookie tool. Varly follows the visitor's choice there. See Cookie consent.
- Domains: the domains Varly accepts data from.
- Never track these pages: pages that are never tracked or recorded, such as checkout and account pages.
- Exclude IP addresses: for example the client's office.
Then go back to Install and click Turn tracking on under 3. Turn tracking on. Right after, ask everyone at your agency and at the client to open the link under Exclude your own visits on this device (in Settings → Tracking & privacy) in each browser they use. The link only works while tracking is on.
5. Connect orders and recordings
- Under Install → 5. Connect your orders, connect the client's shop. For Shopify, someone with access to the client's Shopify admin creates a webhook. Other shops send orders through the order API. See Orders and revenue.
- Under Settings → Session recordings, choose How many visits to record and agree on the level under Hide text in recordings with the client. See Recording privacy.
Check after a day that data comes in. The Install page shows it under 4. Check that data comes in. See Check that Varly is working.
6. Run the first research round
Give the site one or two weeks of data. Then:
- Start one or two surveys from the templates, such as Why are you leaving? See Create a survey.
- Go through the heatmaps, recordings and click impact of the main pages. See Find out why visitors don't buy.
- Open Optimize → Ideas and click Find new ideas. Varly turns clear findings into ideas, with the research behind each one.
- Use Prioritization to pick the first tests with the client.
The AI key is set once for your whole agency, in the AI key card of Organization settings. With Daily research round on, the AI adds new ideas for every site once a day. It only sees the research of the site it works on, never data from your other clients. See Add your AI key.
7. Keep an eye on all clients
Your agency's start page shows every client with the number of websites, tests running and ideas still to test. Above that, Needs attention lists what is waiting for someone, across all clients:
- Approve launch: someone (for example an AI assistant) prepared a test and asks you to launch it.
- Result ready: a test has run the number of weeks you planned. Look at the result and decide what to keep.
- Build failed: Varly could not build a test's variant. Open the test to try again.
- Not measuring: data collection on a website is still paused, so nothing is measured.
Click an item to go straight to it. People with access to only some clients see only those clients.
8. Report to the client
You report from what's already in Varly:
- Give the client a Viewer login. They can look at every heatmap, survey, idea and test result for their own sites.
- Share links. A heatmap link keeps its page, device, period and filters, so the other person sees exactly your view. In a recording, Copy link at gives a link to that moment. Links only work for people with access to the client.
- Download CSV under the heatmap's element list gives you the numbers for a slide or spreadsheet.
- Ideas and Prioritization work as a shared test plan. Each idea shows the research behind it.
- Experiments shows each test's result in plain words, with the numbers behind it. See Read your test results.
Common problems
- The client sees other clients. Under Team, click Edit role and access next to the person and choose Only these clients.
- The invitation didn't arrive. Check the spam folder, or send the link shown under Pending invitations yourself.
- The invitation link doesn't work. Links expire after 14 days. Click Create new link under Pending invitations and send the new one; the old link stops working.
- No data after installing. Check that tracking is on (Install → 3. Turn tracking on) and that you accepted cookies in the banner. See No data coming in.
