Give team members access to clients
In an agency account, choose per team member whether they see all clients or only selected ones.
In this article
An agency account holds several clients, each with their own sites and data. Each client's data is kept completely separate. Client access decides which of those clients a team member can open. Their role (Owner, Editor or Viewer) decides what they can do there; see Invite your team and choose roles.
The two options
| Option | What the person sees |
|---|---|
| All clients, including new ones | Every client in the agency, now and in the future. |
| Only these clients | Only the clients you tick. Other clients don't appear anywhere for them. |
Use Only these clients for, for example, a freelancer who works on one account, or a specialist who only handles a few clients.
Set access when you invite someone
- Open Team from the top of your list of clients.
- Under Invite a colleague, enter the Email address and choose a Role.
- Under Client access, choose All clients, including new ones or Only these clients.
- If you chose Only these clients, tick one or more clients.
- Click Create invitation. Varly emails the invitation to your colleague and also shows the link, so you can send it yourself.
Once they accept, they get exactly this access.
Change someone's access
- On Team, click Edit role and access next to the member.
- Under Client access, change the option or the ticked clients.
- Click Save changes.
The change applies right away. Next to each member, the team list shows All clients or the number of clients they can see, for example 2 clients.
What access covers
- The app: the person only sees their clients in the client list, and can't open other clients' sites, heatmaps, recordings, surveys, ideas or tests.
- AI assistants: when they connect Claude or ChatGPT, the assistant only sees the same clients. The consent screen lists them under For these clients. See Connect Varly to Claude.
- Organization settings: the AI key belongs to the whole agency, but the AI only ever sees the research of the site it is working on, never data from other clients.
Common problems
"Pick at least one client, or give access to all clients". You chose Only these clients but didn't tick any. Tick at least one, or choose All clients, including new ones.
A team member can't find a client. Check their access under Team → Edit role and access. With Only these clients, the client must be ticked.
A team member can see a client but can't change anything. Their access is fine, but their role is Viewer. Change the Role under Edit role and access.
